A simple landlord calendar

Most of this only takes a few minutes to plan once you know what's due when.

  • Every year: gas safety check (CP12) for any gas appliances. Give tenants a copy within 28 days.
  • Every 5 years: EICR. Give tenants a copy within 28 days, and new tenants before they move in.
  • Start of every tenancy: test the smoke and CO alarms on move-in day, and give tenants the gas record, EICR, EPC and the government's "How to rent" guide.
  • When something breaks: repairs to heating, hot water and electrics should be sorted quickly, especially in winter.

Keep copies of every report and certificate. The council can ask to see them, and you'll need them if there's ever a dispute.

Common questions

Can you do the EICR and gas safety check on the same day?

Yes. We have NICEIC electricians and Gas Safe engineers, so both can be booked for the same visit. The tenant only needs to give access once.

Do you deal with the tenant directly?

Yes. Send us the tenant's name and number and we arrange a time with them. If we can't get access, we tell you straight away so you have a record of the attempt.

Can reports and certificates go to my letting agent?

Yes. We can email certificates and reports to you, your agent, or both, and invoice whichever of you is paying.

What safety checks does a landlord need in England?

A gas safety record every 12 months for any gas appliances, an EICR at least every five years, a smoke alarm on every storey, and a carbon monoxide alarm in any room with a fixed combustion appliance (not including gas cookers). You also need a valid EPC, which is a separate assessment.

Do you work on HMOs?

Yes. HMOs need the same gas safety certificate and EICR, and HMO licence applications usually ask for them.
